Online Events Permit Application - Hints and Tips
This guide is designed to assist the Event Organiser to complete an Online Event Permit for an event within the Shire of Mundaring.
The Online Events Permit Application - Hints and Tips will lead the Event Organiser through the online application process and provide information where necessary to assist the applicant in completing the application.
The Shire has also developed a set of Event Guidelines that will outline many of the things that you will need to understand when organising an event. By reading and understanding these guidelines before you attempt the Online Event Permit you will better appreciate the requirements of your type of event and the various timeframes that may apply.
Please note the following information:-
- The timeframe required by the Shire to process Event Permits depends on the type, size and components of each application.
- Submission of an event for approval may be blocked if timelines do not allow enough time for the approval to process to proceed.
- Submission of an application does not constitute approval.
Online Event Permit
You can access the Online Event Permit using your account in My Mundaring Online portal or using the following link: Create Event Permit
The Online Event Permit is somewhat intuitive and will in places automatically complete parts of your application as you are entering the data. For example; as you start entering the address of the event the form will find the street or reserve name.
The first stage of your application is to Create an Event by entering the Customer Details and clicking on the Continue button.
The second stage of your application is where you enter the basic information of your event such as the Event Name, Event Date, Event Start and Finish Times and Event Location. Drop down boxes will assist you with some information such as for Shire venue locations and other sections may be automatically filled in as you are entering data.
The third stage of your application is where all the detail of your event is completed and is the most important section of your application.
In this stage you must answer every question regardless of whether you think it is applicable to your event or not. Each answer will either lead you to the next question or require you to provide more information that will assist the Shire to make an informed decision as to the outcome of your application.
In this section you may also be required to attach/upload various documents or you may be directed to other links where forms can be completed online or downloaded for later completion and uploading.
As you work through the application you will be able to save it at any time. When you first save your application you will receive an email advising you that you have commenced an application. The email will also contain a reference number and a link so that you may return to the application to add more information or to complete and submit your application.
You may return at any time but please make sure that you save your work each time or you will have to do it all over again. Each time that you save your application you will receive a confirmation email.
Please note that you will not be able to submit your Online Event Permit for approval until ALL questions are answered with either Yes, No or by ticking a required box and/or uploading all required documentation. Drop down boxes/menus will also assist in this process.
When you have completed the application you will be able to submit it electronically by clicking on the Submit button. Once it has been submitted you will have 10 days to make any last minute changes after which the Shire will block your access to the application.
Once blocked, your application will be assessed to ensure it is sufficiently completed. If deemed sufficient your application will be progressed into the Shire’s Application Processing System where it will be further progressed towards approval.
If it is deemed insufficient or there is unclear information, you may be asked to provide more information before re-submitting if time allows.
